How LabelsAgent Handles Your Information

  • We collect only operational data needed to quote, produce, and ship your labels.

LabelsAgent is operated by Fuzhou LabelAgent Supply Chain Co., Ltd., a China-based custom label sourcing platform serving brands in the United States, Canada, the United Kingdom, the European Union, Australia, and other markets. We act as the communication and production coordination layer between Western buyers and experienced Chinese label factories.

Because we coordinate custom production, we need operational information — contact details, packaging specifications, artwork files, and shipping addresses — to deliver physical products. We do not buy or sell personal data. We do not rent email lists. We use the information you provide to produce your labels and improve your experience on our website.

Quick summary

We collect what is needed to quote, produce, and ship your labels. Artwork files are used only for production purposes and are never sold to third parties. You can request access, correction, or deletion at any time by emailing [email protected].

§ 03 · How We Use Information

Purposes of Data Use

We use the information you provide for the following specific business purposes — each purpose is tied to a legitimate operational need:

01
Respond to inquiries Answering questions about materials, pricing, production, and shipping.
02
Prepare quotes Calculating costs based on your label specifications and packaging requirements.
03
Process orders Managing payment, production scheduling, quality control, and dispatch.
04

05
Provide customer support Handling artwork revisions, production questions, and post-delivery issues.
06

07

08

§ 04 · Artwork & Uploaded Files

Your Designs Stay Private

We never sell customer artwork

Artwork files uploaded to LabelsAgent are used solely for quoting, proofing, and production. We do not sell, license, or distribute customer artwork to any third party, and we do not use your designs in marketing materials, portfolio showcases, or social media without your explicit written permission.

Artwork files uploaded to LabelsAgent are shared only with the specific factory production team responsible for manufacturing your order. Files move on a need-to-know basis — prepress, factory floor, and quality control — and are not exposed to other teams or external partners.

If you would like us to feature your finished labels in a case study or before/after showcase, we will ask for separate written approval. You may revoke that approval at any time and we will remove the featured material from public channels within 30 days.

Production files are retained for reorder convenience so that repeat customers do not need to re-upload artwork. If you want your files permanently deleted after order completion, email [email protected] and we will remove them from our active systems within 30 days.

Pro tip

Sending a new revision? Tell us clearly in the email subject line (e.g. "Rev 3 — new barcode placement"). Clear file naming helps our prepress team pick up the correct version and reduces the chance of an outdated file reaching production.

§ 05 · Sharing Information

Who We Share Data With

We share operational data only with parties necessary to fulfill your order. Every partner below is contractually bound to use your data only for the service they provide — not for their own marketing.

Printing Partners

Chinese label factories in our vetted network receive artwork, material specifications, and production instructions to manufacture your labels. They are contractually bound to use files only for production.

Shipping Providers

DHL Express, 4PX, Yanwen, or equivalent carriers receive your name, address, phone number, and package contents for customs documentation and delivery.

Payment Processors

Payment platforms receive transaction data needed to process your deposit and final payment. We do not store full credit card numbers on our servers.

Service Providers

Email delivery, website analytics, and file storage providers may process limited data on our behalf under standard data processing agreements. They may not use your data for their own purposes.

Who we never share with

We do not share, sell, or rent your personal information to advertising networks, data brokers, or third-party marketers. Ever.

§ 06 · Cookies & Analytics

Cookies and Tracking Technologies

Our website uses cookies and similar technologies to remember your preferences, analyze traffic, and improve page performance. Cookies are small text files stored on your device when you visit our site.

Essential Cookies
Needed for the website to function — form submissions, navigation, and security. Cannot be disabled without breaking core features.
Analytics Cookies
Help us understand which pages are useful and where visitors encounter issues. Used in aggregate, not to identify individuals.
Preference Cookies
Remember choices like language or recently viewed products. Improve convenience but are not essential for the site to function.

You can control or delete cookies through your browser settings. Disabling cookies may affect some website features, such as form submission or quote requests.

No cross-site advertising tracking

We do not use cookies for cross-site advertising tracking. We do not share cookie data with advertising networks or social media platforms for ad targeting.

§ 07 · Data Security

How We Protect Your Information

We take reasonable technical and organizational measures to protect the information you provide:

  • Restricted access. Customer data is accessible only to authorized team members who need it for quote, production, or support tasks.
  • Secured storage. Artwork files and order records are stored on secured servers with access controls and audit logs.
  • No card storage. Payment information is processed through certified payment gateways; we do not store full card details on our servers.
  • Contracted factory partners. Factory partners operate under production agreements that prohibit unauthorized use or redistribution of customer files.
  • Regular review. We regularly review our systems, processes, and partner agreements for potential vulnerabilities and improvements.
No system is 100% secure

While we strive to protect your information, we cannot guarantee absolute security of data transmitted over the internet. If a data breach occurs that may affect you, we will notify affected customers in accordance with applicable laws.

§ 08 · International Users

Cross-Border Data Processing

LabelsAgent serves customers primarily in North America, Europe, the United Kingdom, and Oceania, while production is coordinated in China. This means your information may be processed across borders.

When you submit a quote request, upload artwork, or place an order, your operational data (contact details, specifications, artwork, shipping address) is transmitted to our team in China and to the relevant production factory. This cross-border transfer is necessary to deliver the custom labels you ordered.

For users in regions with specific data protection regulations — such as the EU GDPR, UK GDPR, or CCPA in California — you retain the rights described in the next section regardless of where your data is processed.

Why cross-border transfer is necessary

Custom label production requires the factory to see your specifications, artwork, and shipping address. Without this transfer, we cannot produce or deliver your physical labels.

§ 09 · Your Rights

Access, Correction, and Deletion

Under GDPR (Articles 15–21), CCPA, and similar regulations, you have specific rights over your personal data. These apply regardless of where your data is processed.

Right to Access

Request a copy of the personal information we hold about you, including contact details, order history, and uploaded files. (GDPR Art. 15)

Right to Correct

If your information is inaccurate or outdated (wrong address, misspelled name, wrong company), ask us to update it at any time. (GDPR Art. 16)

Right to Delete

Request deletion of your personal data and artwork files, subject to legal record-keeping requirements (tax, customs, accounting). (GDPR Art. 17)

Right to Opt Out

Unsubscribe from any non-essential emails at any time using the unsubscribe link or by contacting us directly. (GDPR Art. 21)

Right to Data Portability

If applicable under your local law, request your data in a structured, machine-readable format for transfer to another provider. (GDPR Art. 20)

Right to Object

Object to specific processing activities, such as analytics tracking or marketing communications, without losing access to our services. (GDPR Art. 18, 21)

How to exercise your rights

Email [email protected] with your request. We aim to respond within 30 days. We may need to verify your identity before processing certain requests to protect account security.

§ 10 · Data Retention

How Long We Keep Information

Key takeaways
  • Active order data is kept for 90 days after delivery for support purposes.
  • Order history and artwork are kept for reorder convenience unless you request deletion.
  • Financial records are kept 5–7 years as required by Chinese tax law — this is a legal requirement we cannot override.
  • Quote inquiries that do not result in an order are deleted after 12 months.

We retain customer information for as long as necessary to fulfill the purposes described in this policy, unless a longer retention period is required by law:

  • 90 days Active order data — retained throughout production and delivery, plus 90 days for post-delivery support.
  • Indefinite* Order history & artwork — retained for reorder convenience unless you request deletion. (*Subject to your deletion request.)
  • 14 months Website analytics data — aggregated and anonymized within 14 months of collection.
  • 12 months Inquiry data without orders — quote inquiries that do not result in an order are retained for 12 months, then deleted.
  • 5–7 years Financial records — retained for 5–7 years as required by Chinese tax and accounting regulations.
§ 11 · Changes to This Policy

Updates and Revisions

LabelsAgent may update or revise this Privacy Policy at any time. When material changes are made, we will update the "last revised" date at the top of this page and, where appropriate, notify active customers via email.

Continued use of our website or services after changes constitutes acceptance of the revised policy. If you place an order after the policy has been updated, the version in effect at the time of order confirmation applies to that order.

For significant policy changes that affect how your existing data is handled — for example, a new category of data sharing, or a change in cross-border transfer practices — we will communicate directly with affected customers and provide a clear opt-out where applicable.
